We’re looking for an Executive Assistant who genuinely loves admin—the calendars, the details, the tidy systems, the “I already handled it” moments. This role is for a career EA. Not an entry-level stepping stone. Not a “try it out until something else comes along.” We want someone who is proud to be the person who keeps the engine running.
The vibe
You’re the calm in the chaos. The friendly gatekeeper. The person who always has the doc, the link, the plan, and the backup plan. You’ll support a CEO who works between our Edmonton corporate office and our future Victoria regional office, plus help keep the senior leadership team coordinated and on track.
What you’ll actually do:
You’ll basically be the organizational superhero behind the scenes, including:
• Keeping the CEO’s calendar organized, realistic, and protected (hello, focus time).
Booking meetings with lots of moving parts, and making sure everyone shows up prepared.
• Creating and polishing docs, spreadsheets, decks, and templates in Google Workspace (Docs/Sheets/Slides/Drive/Calendar).
• Travel planning and itinerary-building (and calmly fixing things when travel plans inevitably change).
• Drafting emails, tidying up communication, and keeping details crisp and professional.
• Taking notes and tracking action items so nothing gets lost in the shuffle.
• Handling confidential info with discretion and great judgment.
• Building systems, checklists, and simple processes that make everything smoother (you will be adored for this).
What we’re looking for:
You’re experienced, mature, and unflappable. You like being the right-hand person. You don’t need a spotlight—but you do need things done properly.
Must-haves:
• 7+ years of admin experience, with significant experience supporting executives (CEO/VP level preferred).
• Strong Google Workspace skills (Docs, Sheets, Slides, Calendar, Drive).
• Excellent organization, follow-through, and attention to detail.
• Clear, professional writing and communication skills.
• Discretion and comfort working with sensitive information.
• A proactive “don’t worry, I’ve got it” mindset.
Nice-to-haves:
• Experience supporting a multi-site organization (healthcare/retail is a bonus).
• Comfort juggling priorities across Edmonton + Victoria schedules.
• You enjoy building templates, systems, and repeatable ways of working.
Hours + flexibility
Full-time is great. Part-time is also great. We will absolutely consider someone who wants to work less than 8 hours a day (for the right person, we’re flexible). What matters most is experience, reliability, and fit.
Where you’ll be based
Edmonton or Victoria, with flexibility to support a CEO who spends time in both locations. Hybrid/in-office details can be discussed based on the candidate and operational needs.
